Terms of Service

These terms govern your use of the Ola Accountancy Self Assessment workflow platform (the "Service"), provided by Ola Accountancy ("we", "us", "our"). By creating an account or using the Service you agree to these terms. If you do not agree, please do not use the Service. These terms set out how the platform may be used; the specific accountancy services we provide to you are governed by your separate engagement letter, which takes precedence in the event of any conflict.
1. The Service
The Service is software that helps prepare, review and submit UK Self Assessment tax returns. Staff accountants use it to manage client cases; tax clients use a secure portal to provide information, upload documents and approve their return before submission. The Service supports our accountancy work — it is a tool, not a substitute for professional advice.
2. Accounts & eligibility
- Accounts are created by invitation only. You must be 18 or over and provide accurate, current information.
- You are responsible for keeping your password confidential and for all activity under your account. Tell us immediately at support@ola-accountancy.co.uk if you suspect unauthorised access.
- We use hashed passwords, automatic lockout after repeated failed logins, and session expiry to help keep accounts secure.
- We may suspend or deactivate an account to protect the Service, our clients, or where required by law. Deactivation preserves the audit trail as required by accounting and tax rules.
3. Your responsibilities
- You must provide complete and accurate information. The accuracy of any tax return depends on the information you supply.
- You remain legally responsible for your tax return. Nothing is submitted to HMRC until you have reviewed and approved it through the portal.
- You authorise us to act as your tax agent with HMRC for the purpose of preparing and filing your Self Assessment, where you complete the HMRC authorisation step.
- You must not misuse the Service — including attempting to access other users' data, disrupt the platform, upload malicious content, or use it unlawfully.
4. Fees & payment
Our fee for preparing and filing a Self Assessment return is £250 plus VAT, unless agreed otherwise in writing in your engagement letter. Payments are processed securely by Stripe; card details never touch our systems. Fees are payable as set out at checkout. If you are a consumer, you have a statutory 14-day right to cancel; if you ask us to begin work within that period, you may be charged for the work carried out up to the point you cancel. Otherwise, fees are non-refundable once work has commenced, except where the law requires.
5. HMRC submissions
Submissions to HMRC are made on your instruction after your approval. Filing and payment deadlines are set by HMRC (for 2025–26 returns, the online filing and balancing-payment deadline is 31 January 2027). You are responsible for meeting your own deadlines; we will use reasonable care to submit approved returns promptly.
6. Data protection
We process personal data in line with our Privacy Notice and use only strictly necessary cookies as described in our Cookie Policy. All data is stored in the United Kingdom, encrypted at rest and in transit.
7. Availability
We aim to keep the Service available but do not guarantee uninterrupted access; it may be unavailable for maintenance, updates, or reasons beyond our control. We are not liable for losses arising from temporary unavailability, or for any failure or delay caused by events beyond our reasonable control.
8. Intellectual property
The Service, its design and content are owned by Ola Accountancy or our licensors. You are granted a limited, non-transferable right to use the Service for its intended purpose. Your own data remains yours.
9. Liability
Nothing in these terms excludes liability that cannot be excluded by law (including for death or personal injury caused by negligence, or for fraud). Subject to that, our total liability arising from your use of the Service is limited to the fees you have paid us for the relevant return. We are not liable for indirect or consequential losses. Professional liability relating to our accountancy work is governed by your engagement letter.
10. Termination
You may stop using the Service at any time. We may suspend or end your access if you breach these terms. On termination we will retain records as required by HMRC and our Privacy Notice (generally six years).
11. Changes to these terms
We may update these terms from time to time. Material changes will be notified through the Service or by email, and the "Last updated" date above will change. Continued use after changes means you accept the updated terms.
12. Third parties
A person who is not a party to these terms has no right under the Contracts (Rights of Third Parties) Act 1999 to enforce any of them.
13. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
